1. Who we are and the scope of this Policy

My Success Coach Pty Ltd (ABN 11 623 604 688), trading as EZcore Automations (“EZcore”, “we”, “us” or “our”), provides EZlaunch AI and related automation services. This Policy explains how we handle personal information collected through our websites, enquiries, sales, onboarding, customer accounts, support and the services we operate.

When an EZlaunch AI customer uses the service to communicate with its own prospects or customers, that customer generally decides why the information is collected and used. In that context, EZcore processes the information to provide the configured service and the customer remains responsible for its own privacy notices, permissions and lawful use.

2. Personal information we may collect

Depending on how you interact with us or an EZlaunch AI service, we may collect:

  • name, business name, role and contact details;
  • enquiry, onboarding, support and account information;
  • billing records, transaction status and limited payment information supplied by our payment processor;
  • website, domain, calendar, CRM, workflow and service configuration information;
  • messages, form submissions, appointments and conversation history;
  • call metadata and, where enabled and lawful, call recordings, transcripts and AI-generated summaries;
  • technical information such as device, browser, IP address, logs, approximate location and security events; and
  • other information you choose to provide.

Please do not send passwords, authentication codes, full payment-card details or other credentials through ordinary email, SMS, chat or forms. Use approved invitations, delegated access or secure provider processes.

3. How we collect information

We collect information directly from you, from your authorised users, through our websites and forms, during calls or messages, from connected services you authorise, and from service providers that support payment, communications, hosting, analytics, security and customer management.

4. Why we use information

We use personal information where reasonably necessary to:

  • respond to enquiries and provide requested information;
  • take payment, onboard customers, configure and deliver EZlaunch AI;
  • route calls and messages, book appointments and operate agreed automations;
  • provide support, detect problems, secure accounts and prevent misuse;
  • monitor and improve reliability, functionality and customer experience;
  • maintain business, tax, accounting and dispute records; and
  • comply with applicable law, lawful requests and regulatory obligations.

We do not use customer conversation content to build unrelated marketing lists and we do not sell personal information.

5. Customer data and responsibilities

EZlaunch AI customers retain rights in the content and customer data they provide or collect through their location. Customers must ensure they have appropriate authority, notices and consents for their contact lists, recordings, messages, appointments, reviews and automated communications.

EZcore uses customer data only as needed to provide, support, secure and improve the contracted service, follow lawful customer instructions and meet legal obligations. We may decline an instruction that appears unlawful, unsafe or outside the agreed service.

6. Service providers and overseas processing

We use established providers for hosting and CRM infrastructure, telecommunications, email, payment processing, analytics, security and related operational services. These may include HighLevel, communications carriers and payment processors. Providers may process information in Australia, the United States and other countries where they or their approved subprocessors operate.

We select providers for legitimate business needs and seek appropriate contractual and technical protections. Their own privacy terms also apply to services they independently provide. We may disclose information where required by law, to protect rights or safety, in connection with a business restructure, or with your direction or consent.

7. Calls, recordings, transcription and AI

Where call recording, transcription or AI conversation features are enabled, calls and messages may be processed to answer questions, route enquiries, book appointments, produce transcripts or summaries, conduct quality assurance and provide support. AI outputs may be inaccurate and should not be treated as professional, medical, legal or financial advice.

The relevant customer is responsible for enabling these features only where lawful and for giving any notices or obtaining any consents required in the caller's or recipient's location. EZcore may suspend a feature where a legal, carrier, platform or security concern arises.

8. Cookies and analytics

Our websites may use essential cookies and, where enabled, analytics or similar technologies to operate pages, remember settings, understand traffic and improve performance. Browser controls can restrict non-essential cookies, but some functionality may be affected. We do not represent that every optional analytics or advertising tool is active at all times.

9. Security

We use reasonable administrative, technical and organisational safeguards appropriate to the service, including access controls and provider security features. No internet service can be guaranteed completely secure. You must protect your account, use strong authentication where available, limit authorised users and promptly report suspected unauthorised access.

Security reminder: Rebecca and EZcore will not ask you to send passwords or one-time authentication codes through ordinary email, SMS, chat or a form.

10. Retention and deletion

We keep information only for as long as reasonably needed for the purpose collected, to provide the service, resolve disputes and satisfy legal, tax, accounting, security or regulatory obligations. Retention periods vary by information type, account status and provider capability. Call recordings, transcripts and logs may follow the retention settings and capabilities of the relevant platform.

After service termination, a customer may request an available export within the period stated in the EZlaunch AI Terms. Some records may be retained where required or permitted by law, and deletion from backups may occur on normal provider cycles.

11. Access, correction and your choices

You may ask to access or correct personal information we hold about you, or request deletion or restriction where applicable. We may need to verify your identity and may refuse or limit a request where permitted or required by law, where it would affect another person's rights, or where EZcore processes the information only on behalf of an EZlaunch AI customer. In that case, we may direct you to that customer.

To make a request, email [email protected]. We will respond within a reasonable period and explain any lawful limitation.

12. Marketing communications

We may send relevant business communications where you have requested them, consented, or where otherwise permitted by law. You can opt out of marketing using the unsubscribe facility or by contacting us. Service, billing, security and account notices may still be sent where necessary to provide the service.

13. Questions and privacy complaints

Send privacy questions or complaints to [email protected]. Please include enough detail for us to investigate. We will acknowledge and address the matter within a reasonable period. If you are not satisfied, you may contact the Office of the Australian Information Commissioner or another regulator with jurisdiction.

14. Policy updates and contact

We may update this Policy to reflect changes to the service, providers, practices or law. The current version and effective date will be published at https://ezcoreautomations.com/ezlaunchai/privacy. We will give reasonable notice of a material change where appropriate.
